Job Description

Collaborates with: Marketing Team, Business Development & Sales, Graphic Designer, Website  Developer, Partners, Stakeholders, MCs 

 

Core Responsibilities 
Event Planning & Execution 
– Curate, plan, and host Suitable Focus events, workshops, and activations. Manage logistics: venue booking, catering, technical setup, exhibitor requirements. Ensure collateral (banners, brochures, digital assets) is prepared.
– Confirm attendance of speakers, MCs, and key stakeholders. 

 

Stakeholder & Partner Engagement 
– Communicate with partners to align on event objectives. 
– Coordinate joint events with external stakeholders for mutual value. 
– Act as liaison between Suitable Focus and external event organisers. 

 

Event Reporting & Data Management 
– Collect and manage event data (attendees, leads, partners engaged). Produce post-event reports highlighting ROI, engagement, and improvements. Track KPIs (attendance, leads, brand exposure). 
– Provide insights to Marketing and Business Development Managers for follow-up.
 
Budget & ROI Oversight 
– Work with Marketing Manager to align budgets and ROI expectations. Monitor costs to ensure financial sustainability. 
– Recommend improvements to maximise impact while controlling expenses. 

 

On-Site Event Management 
– Oversee setup, registration, and event flow. 
– Manage MCs and ensure programme runs smoothly. 
– Troubleshoot issues to ensure seamless execution. 
– Represent Suitable Focus professionally at exhibitions and activations. 

 

Continuous Improvement 
– Identify opportunities to improve formats, engagement, and reporting. Benchmark events against industry standards. 
– Collaborate with marketing and sales teams to ensure events support lead generation  and brand awareness. 

 

The compensation package is structured in two segments: an initial probationary stage followed  by a permanent stage.  
During the probationary period, the focus is on assessing capability, ensuring alignment with  cash flow, and confirming role fit. 

 

Once probation is successfully completed, the permanent stage reflects market-aligned  compensation for Events Coordinator in Cape Town, recognizing the added responsibilities  and proven performance. This structure provides both a fair entry point and a clear pathway for  growth within the role.

Required Skills & Qualifications

Educational Background 
– Diploma or degree in Event Management, Marketing, Communications, or related field. 
– Professional certifications in project management or event planning (e.g., PMI, Cvent)  advantageous but not mandatory. 

 

Technical Skills 
– Proficiency in event management tools and scheduling platforms. 
– Competence in Microsoft Office and Google Workspace for planning and reporting. Ability to manage budgets, track ROI, and produce post-event reports. Familiarity with CRM systems for attendee and lead tracking. 
– Knowledge of digital asset creation and coordination with design teams. 

 

Core Competencies 
– Strong organizational and logistical planning skills. 
– Ability to manage multiple events and deadlines effectively. 
– Attention to detail with commitment to seamless execution. 
– Analytical ability to measure event impact and recommend improvements.

 

Interpersonal & Communication Skills 
– Clear and professional communication with partners, stakeholders, and vendors. Strong collaboration skills to coordinate with marketing, sales, and external organisers. Ability to represent Suitable Focus professionally at events and exhibitions. Skilled in presenting reports and insights to senior leadership. 

 

Experience 
– Minimum 2–3 years in event coordination, project management, or marketing support  roles (especially working in a growing SME environment). 
– Proven experience in planning and executing workshops, activations, or conferences. Track record of managing budgets and delivering ROI-focused events. Exposure to stakeholder engagement and external partner collaboration.
